How to Insert a Watermark in Excel: Step by Step Tutorial

This is a step by step tutorial on how to insert a watermark in Excel. You can add watermarks in other Microsoft Office packages such as Word but many people think you can’t add them in Excel. Well this tutorial will teach you how to insert a watermark in Excel using the Header and Footer tools.

 

 

What are Watermarks?

 

A watermark is a visible embedded overlay on a worksheet such as a text, logo, picture, image or copyright notice. For example, on a confidential worksheet you can have “Confidential” written across the worksheet as shown below. This helps to emphasise the status of the worksheet.

 

How to Create a Watermark Image

 

The first thing you need to do is to create a watermark image to appear on the background of the worksheet. You can do this in WordArt and then change the formatting using the Drawing Tools option. The example I created above was done by WordArt.

 

 

WordArt can be found by clicking on the Insert tab on the ribbon and then under the Text group click on the WordArt command button. Select the design you want from the available options.

 

 

A text box will appear in your worksheet which says “Your text here”. Type the text you want to display in the background of the worksheet. Now do the following:

 

1. Resize it by using the handles on the borderlines and rotate it if you wish

 

2. Remove the gridlines on your worksheet by clicking on the View tab on the ribbon and under the Show group untick the Gridlines checkbox

 

3. Copy the object by right clicking the mouse and choosing Copy from the shortcut menu

 

4. Open MS paint or any other drawing tool and paste the object

 

5. Resize the object or crop it

 

6. Save the object in PNG or GIF file to your computer

 

 

How to Insert a Watermark in your Worksheet

 

Now that you have created the watermark you can add it to the worksheet header.

 

Click on the Insert tab in the ribbon and under the Text group click on the Header & Footer command button.

 

The worksheet changes to Page Layout view. Click on the Picture icon in the ribbon and an Insert Pictures dialog box will appear. Click on the Browse button and go the path where you have saved the watermark image and then click on the Insert button to add the picture to the header.

 

The header will display &[Picture]. This means a picture is now contained in the header.

 

The watermark is now displayed in the background of the worksheet.

 

 

How to Format the watermark

 

If you are not happy with the format of the watermark you can change its format and change its position and resize it.

 

Click on the Insert tab in the ribbon and then under the Text group click on the Header & Footer command button.

 

Click on Format Picture in the ribbon.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

In the Format Picture dialog box you can change the size of the watermark in the Size tab and in the Picture tab you can crop the watermark as well as change its colour, brightness and contrast.

 

 

How to Delete a Watermark

 

If you have inserted a watermark to your worksheet and you are not happy with it you can easily remove it.

 

Click on the Insert tab in the ribbon and then under the Text group click on the Header & Footer command button.

 

Click your mouse in the cell where it says &[Picture] and press the delete button on your keyboard. Click on a cell outside the header to save the changes.
